Rent forever, or own it once? The real cost of business software

Off-the-shelf apps are brilliant when you’re starting out. They’re cheap to switch on, they get you moving, and for a while they do the job. We’ve built and used plenty of them — they have their place.

But there’s a point where renting a pile of monthly subscriptions quietly starts working against you. The bill never stops. It climbs every time you add a user, a feature or a new tool to plug the gaps. And all the while, your business — your quotes, your customers, your history — is sitting on someone else’s platform.

There’s another way: have your software built for you, and own it. It costs a little more at the start. Over a few years, it usually costs a lot less — and you end up owning the thing instead of renting it forever.

The bit people miss: subscriptions grow with your headcount, your own software grows with your business

A rented app charges you more as you grow — more seats, more tiers, more add-ons. Grow the team, grow the bill. You’re punished for succeeding.

Software built for you is the opposite. It’s a tool that grows with your business: when things change, we add what you need — but there’s no per-seat meter running in the background. Ten users or fifty, it’s your software. As your business scales, so does it, without the price scaling with it.

In both cases owning is dearer for the first year or so — then the lines cross and never look back. By year five you’re not just spending a third of what you’d have paid; you also own a tool that’s worth something, instead of a stack of receipts for software you have to keep renting.

Two identical businesses, two different futures

Here’s why “one size fits all” quietly fails. Picture two plumbing firms that start out exactly the same — same size, same van, same off-the-shelf app.

  • One drifts towards commercial contracts: now they live and die by compliance certificates, asset registers, planned maintenance schedules and multi-site reporting.
  • The other goes all-in on domestic emergency call-outs: they need live job dispatch, engineer tracking, instant text updates to customers and same-day invoicing.

Same trade, completely different needs. The generic app that suited them both on day one now fits neither — so they each bolt on more subscriptions to fill the gaps, and the monthly bill balloons. Software built around how you actually work goes the way your business goes. It’s tailored to you, not to the average of ten thousand other companies.

What “owning it” actually gets you

  • Everything in one place. Quotes, bookings, jobs, ordering, customers — on your own website, not scattered across a dozen logins.
  • Your data is yours. It isn’t mined, sold, or held hostage. You can export it, use it and build on it however you like.
  • No surprise price rises. No email one morning telling you the plan you rely on just went up 30%, or that a feature you use is now “Enterprise only.”
  • Updates happen because you asked. Changes are made when your business needs them — not when a big software company decides to move your buttons around.
  • Built for you. No bloat, no features you’ll never touch, no paying for the 80% you don’t use.

The part that really bites: lock-in

This is the one people feel too late. When your business runs on a rented platform, your work lives on their servers. Your customer list, your job history, your quotes — all of it.

The day you want to leave, or you find something better, you discover how hard it is to get your own data out in a usable shape. You’re not really a customer at that point; you’re locked in. Cheap to join, expensive to leave — held to ransom precisely because it was cheap to start with.

When you own your software, there’s no hostage situation. It’s on your domain, it’s your data, and it stays that way.

It’s about staying ahead

This model — businesses running on their own bespoke tools instead of renting generic ones — is only going to get more common. The firms that move now own their systems, own their data, and aren’t quietly bleeding a growing subscription bill every month. It’s an investment in something you keep, rather than rent you never get back.
